HT415472 - Google Data Migration

As you leave Blake and your Google Workspace account closes, you most likely will want to keep the information you have generated during your time at Blake. There are a few methods to transfer your data from your Blake Google account. Read this Knowledge Base article to find out which method works best for you.

Employees 

Your Blake technology and network services will be disabled on your last day of employment. If you would like to request an extension, please contact your supervisor so he or she may inform the Director of Human Resources of the extension request. All service extensions must be sent by the Human Resources office and approved by your supervisor.

Important dates for end-of-year departures:

  • First Friday in June (Accolades): non-faculty (including TAs, interims, and bus drivers).
  • June 30th: Faculty

Students

Non-returning students who will be leaving Blake before they graduate will lose access to their Blake provided online accounts (including Google Apps) and hardware (laptop and power supply) on their last day at Blake and thus, should make arrangements to backup and transfer all their online and/or laptop files and data prior to that day.

Important dates for end-of-year departures:

  • Last Friday in May: MS laptop return by the end of the school day.
  • First Wednesday in June: US laptop return after the senior program.
  • First Friday in June: Google credentials suspended (seniors extended to October 1st).
  • July 15th: Veracross access (parents) to print report cards, transcripts, invoices, or LS Seesaw artifacts.
  • Extensions: Automatically granted for Global Programs and Summer Programs (e.g., Health). Any other requests for extended laptop/email access need approval via support@blakeschool.org.

Graduates 

Graduates from Blake surrender their Blake laptop (and power supply) at, or before, the Senior Project Sharing Night and should make sure to follow the laptop backup directions below. Graduating seniors lose access to their Blake-provided online accounts (including Google Apps) on October 1st, following graduation, and thus should make arrangements to back up and transfer all their online files and data prior to that day.

  • October 1st: Google credentials suspended for graduated seniors.

Google Takeout

Google Takeout allows you to select or pick which items you want from your Blake-provided Google account and packages them up into one file for you to download to your computer. You will receive an email when the download is ready. 

Pros: You pick and choose what you want/need. Works with all services your Blake Google account is signed in to. 

Cons: Takes more time. Once you receive the email that your download is ready, you need to have a spot to put it, whether that’s on your personal computer, personal Google account, personal iCloud Drive account, USB Flash drive, or external hard drive.

Google Transfer

If you’re only interested in saving items stored within your Blake Google Drive and emails, then Google Transfer will take everything in Google Drive and Gmail and transfer it to a personal email you have selected. You will receive an email indicating the transfer has been completed.

Pros: Start the process and let Google take care of the transfer for you. You want a copy of all your Blake emails and documents transferred to your personal Google account.

Cons: You will get all Drive files, even ones shared with you. You need to have matching space in your personal drive account to accommodate the transfer. (ex. If you have 200 GB of storage used up in your Blake Account, you will need that much or more in your personal Google account.) This usually means a purchase of storage space within your personal Google account. It can take up to 5-7 business days to move everything.
